How does HS archive data?

The data is held in a data center at RENCI at UNC Chapel Hill.  In addition to the active storage there is fail over redundant storage in an offsite location for data recovery.

How long does HydroShare archive data?

CUAHSI is committed to maintaining availability of published data indefinitely.  CUAHSI data services are an National Science Foundation facility, so while still subject to 5-year funding cycles, there is an implied commitment for funding to be ongoing to maintain the data.

When does HydroShare maintenance occur?

Most website maintenance occurs on Tuesday mornings from 8-10am ET about 0-2 times per month, maintenance sometimes requires downtime in which HydroShare is unavailable for a brief time. We do our best to inform recent users of this downtime but please contact if you are planning a workshop or classroom that falls on a Tuesday. Sometimes unplanned downtime occurs, in which case we aim to notify our users as quickly as possible.

Creating an account

How do I create an account?

Creating an account is free. Go to and click on Sign in on the top right corner of the page. Click Join now. Fill out the form and check your email for a verification link.

Is there a charge for creating an account?

No, it is free to create an account and use HydroShare.

Can I use HydroShare without creating an account?

You can discover and download public resources but you cannot upload or publish resources without creating an account first. An account is also required to join Groups.

Uploading Data and models

What data types/file types are supported?

All data and file types are supported in HydroShare. The file type will determine the resource type. To learn more about resource types click here. HydroShare provides viewing capabilities for some resource types.

Can I edit or delete my resource data and/model after it has been made public?

As long as you have not formally published the resource and received a DOI, you can always edit a public resource. You may consider creating a new resource version if you make significant changes to a resource. 

Filling out metadata for data and models

Are there metadata requirement examples (or templates) for publishing/storing/and sharing different types of data in HydroShare?

Yes, each data type has a set of required metadata. This is documented on help pages for each resource type  

How do I set the spatial extent for a composite resource?

A composite resource can contain many different files, each with their associated metadata profiles. First, you must set the files to “Geo Raster File Type.” From there you should keep the file highlighted and fill in the File Metadata. Go to to learn more. 

Publishing Data and models

Can you edit a resource after you have formally published it?

No. However, if you are waiting to formally publish a resource until an associated paper has been accepted by a journal then you may anticipate the resource DOI using the HydroShare DOI pattern shown below.

How does CUAHSI/HydroShare assist with data publication prior to publication of findings in peer-reviewed journals? 

CUAHSI Support staff are available to help.  They may be reached at  You may publish data and receive a DOI separately from and prior to it being cited in a peer-reviewed publication.  However, note that once you formally publish a resource it becomes immutable and cannot be changed or deleted (except that administrators can delete content in drastic circumstances).

Is there a way to cite a paper that describes the data in the resource?

Part of HydroShare’s metadata model includes relationships.  This lets one add a Relation to a resource. Learn about Relations here.

Discovering Data and models

How do data and models appear on the Discover page?

Data and models appear on the Discover page in HydroShare in numerical to alphabetical order. To navigate to the Discover page, click on ‘Discover’ on the header of any HydroShare page.

Do you need to have a HydroShare account to discover data and models?

Users may discover and download data without having to create a HydroShare account but are required to create an account to upload and/or publish data and models, to use group collaboration functionality, and to use any HydroShare app. The Discover page includes only data and models that other HydroShare users have uploaded and made public or discoverable. Using Groups

How do I decide to make my group public, discoverable, or private?

  • Public: The group and its membership is visible to all
  • Discoverable:  The group name and description is visible, but nothing else. 
  • Private:  The group is hidden from non-members, making membership effectively by invitation only
  • For discoverable and Public groups clicking the Ask to join button generates an email to the owner.  They can then approve joining.  It is also possible to set a group to automatically accept ownership requests, making it a truly open group.

Understanding your Quota

What is the maximum volume of data I can upload?

Each user receives automatically an allocation of 20 GB of space for their resources when they sign up. Users who need more space should contact and explain who they are and why they need more space. This request can be quite short and all reasonable requests will be approved subject to system capacity limitations, with preference given to users from CUAHSI member institutions and NSF funded hydrology research projects. Large requests for space may lead to negotiation over an appropriate contribution towards the costs of providing the space requested, or configuration of capability for use of space at your own institution's server for your HydroShare resources.

Using HydroShare in the Classroom and in Workshops

Can I use HydroShare in my class or workshop?

Yes, we encourage our users to teach others how to share, discover, and collaborate around data, models, and code?
